1. Introduction

At Valley Fleet Shine LLC, we are committed to providing the highest quality commercial fleet cleaning and sanitization services to our clients in Fresno, California and the surrounding Central Valley region. We stand behind every service we perform and are dedicated to your complete satisfaction.

This Refund Policy ("Policy") describes the terms and conditions under which Valley Fleet Shine LLC will issue refunds, credits, or re-service to clients who are dissatisfied with our Services, who cancel scheduled appointments, or who experience other issues related to the provision of our Services.

This Policy is incorporated into and forms part of our Terms and Conditions of Service. By engaging our Services, you agree to be bound by this Refund Policy. Please read this Policy carefully before scheduling or paying for any Services.

2. Definitions

For the purposes of this Refund Policy, the following definitions apply:

  • "Services" refers to all commercial fleet cleaning, washing, sanitization, detailing, rust prevention, steam cleaning, headlight restoration, drying, trailer washing, and on-site fleet maintenance services provided by Valley Fleet Shine LLC.
  • "Client" refers to any individual, business, or entity that has engaged or paid for Services from Valley Fleet Shine LLC.
  • "Completed Service" means a service that has been fully performed by Valley Fleet Shine LLC Technicians at the Client's designated location or facility.
  • "Deposit" means any advance payment made by the Client prior to the commencement of Services, as required for Large Contracts.
  • "Cancellation" means the Client's decision to cancel a scheduled service appointment before Services have commenced.
  • "Re-Service" means the provision of additional or corrective Services by Valley Fleet Shine LLC at no additional charge to the Client, as part of our Satisfaction Guarantee.
  • "Business Day" means any day that is not a Saturday, Sunday, or federal holiday in the United States.

3. Cancellation Policy

Full Refund — 24+ Hours Notice: If you cancel a scheduled service appointment at least twenty-four (24) hours before the scheduled start time, you will receive a full refund of any deposit or advance payment made. No cancellation fee will be charged. Refunds will be processed within five to seven (5–7) Business Days using the original payment method.

Partial Charge — Same-Day Cancellation: If you cancel a scheduled service appointment with less than twenty-four (24) hours' notice ("same-day cancellation"), or if you fail to provide access to your vehicles at the scheduled service time ("no-show"), Valley Fleet Shine LLC will retain or charge fifty percent (50%) of the scheduled service value as a cancellation fee. This fee compensates Valley Fleet Shine LLC for the time, labor, fuel, and resources committed to your appointment.

How to Cancel: To cancel a scheduled appointment, please contact us as soon as possible by telephone at 559-269-4080 or by email at info@valleyfleetshine.com. Cancellations must be confirmed by a Valley Fleet Shine LLC representative to be considered valid. Voicemail messages left outside of business hours will be considered received at the start of the next Business Day.

Recurring Service Agreements: Cancellation of recurring service agreements is subject to the terms specified in your Service Agreement. Generally, thirty (30) days' written notice is required to cancel a recurring agreement without penalty. Please refer to your specific Service Agreement for details.

Company-Initiated Cancellations: If Valley Fleet Shine LLC cancels a scheduled appointment due to circumstances within our control (e.g., equipment failure, staffing issues), you will receive a full refund of any advance payment and we will reschedule your appointment at your convenience at no additional charge.

4. Satisfaction Guarantee

Valley Fleet Shine LLC offers a 100% Satisfaction Guarantee on all Services. We are committed to delivering exceptional results on every job, and we will not consider a job complete until you are fully satisfied with the outcome.

Notification Requirement: To invoke our Satisfaction Guarantee, you must notify Valley Fleet Shine LLC of your dissatisfaction within twenty-four (24) hours of the completion of Services. Notification must be made by telephone at 559-269-4080 or by email at info@valleyfleetshine.com. Please provide a detailed description of the specific areas or aspects of the service with which you are dissatisfied.

Re-Service: Upon receipt of a valid satisfaction complaint, Valley Fleet Shine LLC will schedule a Re-Service appointment to address the specific concerns raised. Re-Service will be performed within seven (7) calendar days of the notification, subject to scheduling availability. Re-Service is provided at no additional charge to the Client.

Scope of Re-Service: Re-Service will address only the specific areas or aspects of the original service that were identified as unsatisfactory. It does not constitute a complete re-performance of all Services unless specifically agreed upon by Valley Fleet Shine LLC.

Limitations: The Satisfaction Guarantee does not apply to dissatisfaction arising from: (a) pre-existing damage or conditions on the Client's vehicles; (b) the Client's failure to disclose relevant information about the vehicles or service requirements; (c) damage caused by the Client or third parties after Services were completed; (d) normal wear and tear; or (e) results that are inherently limited by the condition of the vehicle (e.g., deeply embedded stains that cannot be fully removed).

5. Refund Eligibility

General Rule — No Refunds for Completed Services: As a general rule, Valley Fleet Shine LLC does not issue monetary refunds for Services that have been fully completed. Our commitment to your satisfaction is fulfilled through our Re-Service policy, which provides corrective services at no additional charge.

Exceptional Circumstances: Valley Fleet Shine LLC may, at its sole discretion, issue a partial or full monetary refund in exceptional circumstances where: (a) Re-Service is not feasible or would not adequately address the Client's concerns; (b) Valley Fleet Shine LLC acknowledges a significant failure in the provision of Services; or (c) other extraordinary circumstances exist that make a refund the most equitable resolution.

Partial Refunds: In cases where a partial refund is deemed appropriate, the refund amount will be calculated based on the portion of Services that were not adequately performed, as determined by Valley Fleet Shine LLC in good faith.

Deposits: Deposits paid for Large Contracts are refundable in full if the Client cancels with at least twenty-four (24) hours' notice. Deposits are non-refundable for same-day cancellations, except in cases of company-initiated cancellations.

Prepaid Service Packages: If you have purchased a prepaid service package and wish to cancel the remaining unused services, Valley Fleet Shine LLC will issue a pro-rated refund for the unused portion of the package, less any applicable cancellation fees.

6. Damage Claims

Reporting Requirement: Any claim for damage to a vehicle or property allegedly caused by Valley Fleet Shine LLC during the provision of Services must be reported in writing within twenty-four (24) hours of the completion of Services. Written reports may be submitted by email to info@valleyfleetshine.com or by mail to 4743 W Holland Ave, Fresno, CA 93722.

Required Information: Damage claims must include: (a) a detailed description of the alleged damage; (b) photographs of the damage; (c) the date and time of the service; (d) the vehicle(s) affected; and (e) an estimate of the repair cost from a licensed repair facility.

Investigation: Valley Fleet Shine LLC will investigate all damage claims promptly and in good faith. We may request additional information, photographs, or an independent inspection of the vehicle. We will respond to all damage claims within five (5) Business Days of receipt.

Liability: Valley Fleet Shine LLC's liability for damage claims is limited as described in our Terms and Conditions. We are not responsible for pre-existing damage, damage resulting from pre-existing conditions not disclosed by the Client, or damage caused by the Client or third parties after Services were completed.

Late Claims: Damage claims submitted more than twenty-four (24) hours after the completion of Services may not be accepted, as it becomes difficult to establish causation after this period. Valley Fleet Shine LLC reserves the right to deny late claims at its sole discretion.

7. Payment Reversals and Chargebacks

By engaging the Services of Valley Fleet Shine LLC and making payment, the Client agrees to resolve any payment disputes directly with Valley Fleet Shine LLC before initiating a chargeback or payment reversal with their financial institution or credit card company.

The Client acknowledges and agrees that initiating a chargeback or payment reversal without first contacting Valley Fleet Shine LLC and providing a reasonable opportunity to resolve the dispute constitutes a breach of this Refund Policy and the Terms and Conditions of Service.

In the event of an unauthorized or fraudulent chargeback, Valley Fleet Shine LLC reserves the right to pursue all available legal remedies, including but not limited to collection of the disputed amount plus all associated fees, costs, and attorney's fees.

8. Processing Refunds

Processing Time: Approved refunds will be processed within five to seven (5–7) Business Days of the approval date. Please note that the time for the refund to appear in your account may vary depending on your financial institution or credit card company.

Refund Method: Refunds will be issued using the same payment method used for the original transaction, where possible. Cash refunds will be issued for cash payments. Check refunds will be mailed to the Client's address on file. Credit card refunds will be credited to the original credit card.

Notification: Valley Fleet Shine LLC will notify the Client by telephone or email when a refund has been processed. If you have not received your refund within ten (10) Business Days of the approval date, please contact us at 559-269-4080.

9. Jurisdiction

This Refund Policy shall be governed by and construed in accordance with the laws of the State of California, without regard to its conflict of law provisions. Any dispute arising out of or related to this Refund Policy shall be subject to the exclusive jurisdiction of the state and federal courts located in Fresno County, California.

If any provision of this Refund Policy is found to be unenforceable or invalid under applicable law, such provision shall be modified to the minimum extent necessary to make it enforceable, and the remaining provisions shall continue in full force and effect.
